Customer/Vendor Posting Groups Substitution

There are cases in which a partner (vendor or customer) can be included in several posting groups, depending on the document being posted. For instance, a vendor can function as an internal vendor if it sells items, or a vendor for fixed assets if it sells fixed assets. In accountancy, the documents are posted on different general ledger accounts. This means different vendor posting groups must be used, depending on the document being posted.
To solve this issue, group substitution functionality was added. For a posting group, other posting groups can be associated with a posting group substitution list. In documents or journal lines, that specific posting group can be replaced with another one from the substitution list. This functionality is available for both customer and vendor partners.

Add a group substitute in the customer and vendor posting group substitutions table.

To use this functionality you have to change the vendor/customer posting group on an invoice before posting it.

Setup posting group substitutions

  1. Open Customer Posting Group/Vendor Posting Group page using Tell me icon;
  2. The setup of the posting group substitutions is found on Customer and Vendor Posting Group on Actions tab.
  3. To add new substitutions possibilities, select the posting group for which you want to add, and then press Subst. Vendor Posting Groups/Subst. Customer Posting Groups button from the ribbon. In the open paged, select the posting groups which can be used to replace the default one.

Posted Invoices

  1. Create a new purchase invoice for a vendor which has a default posting group, and replace the vendor posting group first with a vendor group substitute and then back with the default vendor posting group.
  2. Create a new sales invoice for a customer which has a default posting group, and replace the customer posting group first with a customer group substitute and then back with default customer posting group.

Posted Results

The system allows replacing the default posting group with the group substitute, but because the substitutions for the group substitute weren’t created, when you need to replace this group substitute with the default posting group you will receive an error message.
